Overview

Greyhounds Entertainment (GE), the organisation, is committed to protecting the privacy and confidentiality of Personal and Sensitive information collected. This policy outlines our ongoing obligations to you in respect of how we manage your Personal and Sensitive Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual such as names, addresses, date of birth, email addresses, Medicare, Tax, Drivers Licence and phone numbers. Personal Information is obtained in many ways including job application, membership application, customer competition, draws, restaurant bookings, correspondence, by telephone and email, via our website greyhoundsentertainment.com.au and from third parties. We don’t guarantee website links or policies of authorized third parties.

We collect your Personal Information for the primary purpose of providing our services and information about our organisation for you. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our membership, mailing/marketing lists at any time by contacting us in writing at privacy@greyhoundentertainment.com.au

When we collect Personal Information, we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it. If the club has reason to suspect that unlawful activity has been, is being or may be engaged in, personal information may be used or disclosed as a necessary part of any investigation and reporting to relevant persons or authorities.

What is Sensitive Information?

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

    • For the primary purpose for which it was obtained
    • For a secondary purpose that is directly related to the primary purpose
    • With your consent; or where required or authorised by law.

How do we interact with Third Parties?

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Surveillance

For the safety and security of all staff and guests, all persons’ movements within and around Greyhound Entertainment premises are subject to video and audio monitoring and recording by security and surveillance systems, including CCTV, facial recognition technology. Details of suspected or actual illegal or improper conduct may be shared with Authorities, regulators, and law enforcement agencies.

How will the organisation deal with the disclosure, security and access of Personal and Sensitive Information?

Your Personal Information may be disclosed in a number of circumstances including the following:

    • Third parties where you consent to the use or disclosure; and
    • Where required or authorised by law.

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure. Personal information will be stored in client files for a minimum period of 7 years. If your Personal Information is no longer required for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.

It is important your Personal Information is always up to date and accurate. You may make a request to access, correct or update the Personal Information we hold about you, subject to certain exceptions. Suitable identification will be required to access, correct or update Personal Information. Individuals can update or correct their contact details at any time by contacting the Administration Officer on 03 9548 3655 during normal business hours.

To lodge a complaint or request access to your personal information, you must do so in writing to the Privacy Officer at privacy@greyhoundsentertainment.com.au

Communication

The organisation will ensure that:

    • this policy is easily accessible via their website
    • they have an appointed privacy officer
    • provide the document to employees and the board for feedback

Monitoring and Review

The organisation will review this policy annually. The effectiveness of this policy will be assessed through the;

    • feedback from workers and customers
    • review of the policy by management to determine if objectives have been met and to identify barriers and enablers to ongoing policy implementation.
